General Procedures and Conditions (2009)

  1. Please take note of the fact that University accommodation for students is very limited in Stellenbosch. During your studies you have a number of options regarding accommodation; you may stay in a University Residence, in rooms or apartments administered by the International Office or in private accommodation. The International Office tries to mediate on behalf of students and will assist you in obtaining acceptable housing as far as possible.   2. Admission to an academic programme does not imply that the student has a room in university accommodation. All students have to apply separately for accommodation .
  3. Students wishing to stay in a university residence (normally undergraduate students) should complete the relevant section of the university application form.
  4. Students wishing to apply for accommodation administrated by the International Office should use the Accommodation Application Form (see below).
  5. Rooms administrated by the International Office are in Concordia, Academia or a newly built residence (Metanoia).
  6. PLEASE NOTE: Students in Academia and Concordia will only be allowed to move into their rooms from 15 January 2010 and not before this date.
  7. University rooms have network points for direct access to the university network.
  8. All university accommodation is on campus and on the green route where Campus Protection Services provide support.
  9. Rooms (all single) are fully furnished, but students need to bring their own bedding – note that there is no central heating.
  10. The rooms in Concordia and Academia are in self-catering apartments with kitchen facilities. Students need, however, to bring/buy their own kitchen equipment.
  11. The new residence (Metanoia) offers single rooms and a cafeteria with a meal plan option.

    •  The International Office will allocate rooms according to requests received from students. When requests cannot be met, students' names will be wait-listed. Students will be kept informed throughout the process and are kindly requested to respond quickly to follow-up e-mail notices.

Important guidelines to keep in mind:

  1. Carefully read and sign your contract.
  2. Verify and sign your payment schedule
  3. Have the proof of payment of the first instalment copied at the International Office
  4. Keep all receipts as proof of payment
  5. Any adjustments of the original contract and/or payment schedule must be written. No oral arrangements will be considered valid.
  6. VERY IMPORTANT: The contract is for a fixed period and cannot therefore be changed .
  7. Payment System : the conditions are as follows: First Instalment : half of the rent payable amount must be paid by the date specified on your confirmation documents, Second Instalment : the balance of the total rent payable must be paid by.
  8. Extension of contracts : students are advised to submit written requests to the accommodation office at least 3 calendar months before the end of their current contracts.
  9. House Committee: These students assist the Head Warden by ensuring that all students adhere to residence rules and regulations. You may approach any member of the House Committee to assist you after hours and on weekends.
  10. Remember to inform the accommodation office 2 days before your departure in order to arrange for room inspection by email: interhouse@sun.ac.za.
  11. Maintenance : Academia residents must please report any maintenance fault to the Academia Administration Office and Concordia residents must please report all Concordia maintenance fault to the Concordia Administration Office If these offices are closed, please report the fault to the House Committee for urgent assistance

Application and Placement Process

  1. Once the International Office has allocated a room, a fixed period contract together with a request of the first non-refundable instalment will be sent to the student. The contract must be signed and faxed to the International Office at +27 21 808 3799 and the payment made within 10 working days of the student receiving the above contract. The reservation will only be confirmed once the first instalment has been received.
  2. Students will be reminded once to send their signed contract and first instalment. Thereafter the room will be allocated to another student.
  3. Cancellation policy:
    • Should a student cancel her/his room after the reservation has been confirmed, but before his/her arrival, 66% of the first instalment will be refunded
    • Should a student cancel her/his room after arrival, but before registration, the student forfeits the full first instalment. If he/she can provide a replacement, 66% of the first instalment will be refunded.
    • After registration, no cancellation is possible and students are liable to pay the full second instalment.

Fill in the online Accommodation Application Form or send an e-mail to the Accommodation Office for a form.

FOR CURRENT STUDENTS: Re-applications for accommodation for the following year must be submitted by the end of August every year. Download the Re-application Form for 2010 here and hand in at the International Office or fax to the number on the form.

Payment Schedule

  1. Rooms can only be rented for a full semester. Rent will accordingly be calculated irrespective of the students' dates of arrival or departure.
  2. Affiliated students, students on quarter abroad programmes and postdoctoral fellows have different contractual obligations. These programmes have been worked out with the respective home institutions or host departments.
  3. A payment schedule will be provided to each student with the lease of agreement (accommodation rental contract ) .
  4. Rent is paid in two equal instalments:
    First instalment: After being informed that a room has been allocated, students need to pay the first instalment to confirm the reservation. Otherwise the room will be allocated to someone else.
    Second instalment: To be paid two months after registration.

Vacating Rooms
•  Please inform the International Office when you will be vacating your apartment in writing (interhouse@sun.ac.za), at least 2 working days in advance. The apartment will be checked before you depart and you will be held responsible for all damages.

•  Take note that you are required to vacate International Office accommodation by 12:00 noon of the last day of your contract.

Private Accommodation

•  Should a student choose to stay in privately owned accommodation, it is his/her own responsibility to make the necessary arrangements. Accommodation in town may be more affordable, but students should make sure what is included in the contract (e.g. cleaning services, utilities, internet, etc.) and what facilities are provided.

•  Many students find accommodation through the advertisement section of the local newspaper " Eikestadnuus" , that is on sale every Friday. Check the campus notice boards. Many students also find a place to stay by word of mouth.

•  If a student plans to live in Cape Town, finding accommodation is also the student's responsibility. Please bear in mind that public transport between Cape Town and Stellenbosch is limited and not always recommended. Students planning to live in Cape Town should preferably own a car. It takes about 50 minutes to commute between Stellenbosch and Cape Town .

•  Students who will be studying at the US Business School on the Bellvillepark campus are strongly advised not to apply for accommodation in Stellenbosch, because the campuses are about 30 km apart. They should rather contact the Business School (mw@sun.ac.za) for advice.
