3. Other
3.1 Access to additional booms
Available for: 3.1.1 Members of a lift club who share the same parking area so that all the members’ cards can be activated for access to a specific boom.
3.1.2 Staff members who render services on an ad hoc basis at other buildings than their own.
Procedure: 3.1.3 Download the application form for lift clubs from the web, or the application form for ad hoc services.
3.1.4 Complete the form and e-mail it to the campus's parking coordinator.
NB: Note all the terms applicable to this concession.
 
3.2 Temporary utilisation of reserved parking bays
Possible when: A staff member to whom a reserved parking bay has been allocated, gives permission that the bay may be used in his/her absence by a staff member who already has access to the relevant parking area.
Procedure: 3.2.1 Download the relevant letter of permission from the web and complete it.
3.2.2 Place the letter on the windscreen of the temporary user’s vehicle, on the same side as where the parking disc is displayed.
 
3.3 SU service staff
3.3.1 Staff driving university vehicles in the execution of their duties, e.g., Campus Security and Maintenance.
Procedure: 3.3.1.1 One responsible person per division must download the correct application, and complete and e-mail it to the campus's parking coordinator.
3.3.1.2 The above-mentioned person will be informed accordingly as soon as access has been arranged.
3.3.1.3 NB. Irrespective of the capacity in which a person is parking, SU’s parking rules are to be obeyed at all times.
 
3.3.2 Staff driving their private vehicles in the execution of their duties on the campuses.
Conditions: 3.3.2.1 The relevant staff member’s private vehicle has already been registered for access to SU parking.
3.3.2.2 Parking is allowed on marked service vehicle parking bays or non-reserved parking bays. Parking is only allowed on the allocated type of parking in the area where the person has been registered as individual.
Procedure: 3.3.2.3 One responsible person per division must download the correct application, and complete and e-mail it to the campus's parking coordinator.
3.3.2.4 The above-mentioned person will be informed accordingly as soon as access has been arranged.
3.3.2.5 NB. Irrespective of the capacity in which a person is parking, SU’s parking rules are to be obeyed at all times.
 
3.4 Companies or institutions with office space at the SU
Procedure: 3.4.1 The responsible staff member managing the relationship with the company must provide the relevant company or institution with the Terms and Conditions as well as the associated costs.
3.4.2 If the company or institution agrees to the Terms and Conditions as well as the associated costs, the responsible staff member must e-mail the completed form to Tania Steenkamp at tmelotte@sun.ac.za.
3.4.3 The responsible staff member will be advised on the status of the application.
 
3.5 Deliverers, couriers, consultant’s contractors
Applicable to:  Any external institution requiring access to SU parking areas or booms in order to deliver equipment or render services.
Procedure:  The SU division requiring the service must contact the Parking Coordinator, providing the necessary information.
NB: Parking is allowed on loading zones only. If private vehicles are used (in the case of for instance consultants), the required disc must be displayed on the windscreen.
 
3.6 Visitors on arranged appointments
Applicable to:   Persons from the outside who have appointments on Stellenbosch campus, in buildings near visitor’s areas where there are guards on duty, or on the Tygerberg campus.
Procedure - Stellenbosch campus: 3.6.1 The following information is required: name and surname, SU number (if applicable), vehicle registration, date and time.
3.6.2 Contact the Parking Coordinator via e-mail at least one working day before the visit. The Parking Coordinator will make the necessary arrangements or, in the case of a problem, contact the relevant parties.
3.6.3 The Parking Coordinator will arrange with the relevant guard to reserve parking for the relevant visitor or, if the area is already fully booked, propose an alternative parking area.
Procedure - Tygerberg 3.6.4 The relevant division must arrange with the parking coordinator at Tygerberg for the issuing of a preactivated access code beforehand.
3.6.5 Please provide the following information for VIP parking applications: SU number (if the person is associated with SU), vehicle registration, date and time.
3.6.6 Please provide the following information for general visitor parking: Name and surname, SU number (if the person is associated with SU).
3.6.7 The code provides access to the Tygerberg main gate (via the incoming lanes for staff and students), as well as the boom at any other parking area the visitor has been authorised to use.
3.6.8 The code further provides access to the outgoing boom (or booms).
 
3.7 Visitors (ad hoc)
Applicable to: Visitors to the campus on an ad hoc basis, without having made arrangements beforehand.
Procedure - Stellenbosch campus: 3.7.1 Stellenbosch campus: Use the open parking areas marked for visitors (if there is space available that has not been reserved for an arranged appointment) or park in municipal parking areas.
Procedure - Tygerberg campus: 3.7.2 Report to the security at the main gate. The vehicle and driver’s licences will be scanned, cell phone numbers recorded and a parking area allocated according to the reason for the visit.
3.7.3 The visitor will receive an access code printed on a slip. The code provides access to the right booms (incoming and outgoing).
 
3.8 Patients at the Tygerberg campus
Applicable to: Patients visiting the Baromedical section, MRI Cubic section or Clinical Genetics.
Procedure: 3.8.1 The relevant section must provide the Parking Coordinator at the Tygerberg campus with the list of patients as well as their visiting times.
3.8.2 The parking coordinator confirms an access code with the requester to convey to the patient before visiting the premises.
